Healthcare · automation implementation

Advance how referrals move through your agency

If intake still depends on someone noticing a fax, chasing a signed order, or calling around for status, that is chase mode — not a modern operation. We implement automation for the handoff that costs you the most, usually referral intake, in the system that fits — what you have today, or a better fit we agree on first.

Common first advances

Where agencies leave chase mode

  • Referral intake that routes and keeps moving when a fax, portal, or phone referral arrives — without waiting for someone to notice
  • Missing paperwork that surfaces itself and pulls the right follow-up before the file stalls
  • Insurance authorization status and expiration tracking (status only — we do not submit or approve anything)
  • A live view for managers so “where is this referral?” stops being a phone tree
  • Clinician and new-hire onboarding that runs as a guided flow instead of tribal knowledge

Patient information

How we handle it

The sample flow uses made-up records. No patient information on the Fit Call or fit check.

Before anything with patient information goes live, vendors are named, business associate agreements (BAAs) are confirmed, access is limited and tested, logging and recovery are documented, and someone owns incident response.

Not included

  • Diagnosis or treatment recommendations
  • Medical coding
  • Claims submission
  • Replacing your EHR
  • Full staff scheduling

Billing-accuracy software is a separate product Ky runs called Upheld (getupheld.com).
